Arkivi is a collection tracker for physical media and other personal items. This policy explains what information Arkivi collects, how Arkivi uses it, and the choices available to you.
Information We Collect
Account information
If you sign in, Arkivi uses your email address, authentication identifiers, and Supabase user ID to create and maintain your account through Supabase Auth. Arkivi does not ask you to create a password.
Collection information
Arkivi stores the collection information you choose to add, including barcodes, item titles, categories, notes, reviews, custom tags, lending records, people you lend to, prices or values you enter, imported CSV fields, and item history. Some information may be synced to Arkivi's Supabase backend when cloud sync is enabled.
When you use lending features, Arkivi may store the display names you add or select for people you lend items to. If you choose a person from your device contacts, Arkivi stores the selected display name and a device contact reference so the lending feature can recognise that person again. Arkivi does not upload your full contact list, phone numbers, email addresses, or contact-list contents.
Photos and files
If you attach photos, receipts, cover images, or import files, Arkivi processes the files you choose. Local files stay on your device unless a feature clearly uploads or shares them.
Device and app information
Arkivi may store basic app version and device information needed for sync, diagnostics, support, crash investigation, and store-review troubleshooting. If enabled, Arkivi may process push-notification tokens so the app can send notifications you request.
Diagnostics and subscriptions
Arkivi may receive crash logs and diagnostics through Firebase Crashlytics. If you subscribe to Arkivi Pro, Arkivi may process subscription status from RevenueCat, Apple, and Google, but Arkivi does not receive or store your card details.
Information Arkivi does not collect
Arkivi does not collect precise GPS location, Advertising IDs such as IDFA, contact list uploads, SMS or call data, or health data.
Usage analytics
Arkivi's planned product telemetry is anonymous and statistical by default. It is intended to measure broad product behaviour, such as which features are used, where users tap, and whether scan or import flows succeed, without collecting account emails, Supabase user IDs, item titles, barcodes, lender names, notes, receipt or photo contents, or other personal collection content. If Arkivi later adds analytics that identify a user, use non-essential device tracking, or share identifiable analytics data with a third party, the app will add the appropriate privacy information and consent or objection controls before enabling those events.
How We Use Information
Arkivi uses information to:
- provide collection, sync, import, lending, review, and export features;
- authenticate your account and protect your data;
- diagnose crashes, sync failures, and support requests;
- improve scan, import, and collection workflows;
- comply with app-store, legal, security, and abuse-prevention obligations.
Third-Party Services
Arkivi uses service providers to run the app and optional metadata features. These may include:
- Supabase for authentication, database, storage, and Edge Functions;
- RevenueCat for subscription status and entitlement management;
- Firebase Crashlytics for crash reporting and diagnostics;
- Apple App Store and Google Play for app distribution, purchases, refunds, notifications, and device capabilities;
- metadata providers such as eBay, OpenLibrary, IGDB, TMDB, and Discogs.
Barcode lookups and search queries are routed through Arkivi's server-side Edge Functions where supported. Arkivi does not intentionally pass your email address, account identifiers, or IP address to third-party metadata providers.
Arkivi does not sell your personal information.
Affiliate Links
Arkivi does not currently use affiliate links. This section is reserved for a future eBay Partner Network disclosure if affiliate links are enabled before public store submission.
Legal Bases and Choices
Where applicable, Arkivi processes information to perform the service you request, protect legitimate product and security interests, comply with legal obligations, or with your consent where required.
You can choose not to sign in and keep using local-only features. You can sign out, unlink a device, create a data export, or delete your account from the app. You can also request account deletion by emailing support@arkivi.app from your registered email address.
Data Retention
Arkivi keeps account and synced collection data while your account is active. When account deletion is completed, active user-scoped data is destroyed immediately, subject to backups, logs, legal obligations, and abuse-prevention records.
Database backups and operational logs are expected to roll off within 30 days. Crash logs and diagnostics are expected to roll off within 90 days. Local data remains on your device until you delete it, uninstall the app, unlink and remove local data, or use a Delete Account flow that clears local data after the server confirms deletion.
International Processing
Arkivi is operated from the United Kingdom. Arkivi's service providers may process information in countries other than your own, including where Supabase, Firebase, RevenueCat, Apple, Google, and metadata providers operate their infrastructure.
Children
Arkivi is designed for adult physical media collectors and is not directed at children. You must be at least 13 years old to use Arkivi. If you are in a region with a higher minimum age for digital consent, including parts of the EEA, you must meet that higher age requirement.
Changes
Arkivi may update this policy as the product changes. Material changes will be reflected in the in-app policy and, when appropriate, the store listing or release notes.
